It’s important when choosing a conference venue to remember that the aim of you event is to impress, inform or even potential gain new business and therefore it’s crucial that you make a strong first impression on your attendees and that you make sure you book an event or facility in a convenient location and with a provider you can trust to ensure that everything you need for your event is provided with the final price quoted,
It’s important when choosing your venue to make sure that all the basics are covered off – the location should be relatively easy to find and in a central location close to your main target audience of delegates. By neglecting this crucial step you risk the possibility that people may not attend because they have to travel too far. The room itself should include plenty of natural light and space and it should also be well ventilated, particularly during the summer months, and preferably with air conditioning. There’s nothing worse than being uncomfortable when you are confined in a room listening to someone else speak only wishing that you could get outside to cool down.
Above all else, the conference venue you choose should have all the necessary amenities that will ensure you event goes off without a hitch. There should be access to an internet connection, conference phone, laser pointers if required and a projector screen. It’s important to make sure that the technology provided meets with all your requirements, and that you are fully informed on how to use the technology prior to beginning the event – there is nothing worse than delaying an event because you can’t get in touch with a delegate because you are unsure about how to use the conference phone.
