Taken from Webster’s Dictionary, an event by definition is “a noteworthy happening”. In today’s society this simple definition can be extrapolated to mean any one of a multitude of things. Your next “noteworthy happening” could range from a birthday, graduation, mitzvah, wedding or anniversary to an art exhibit, fashion show, corporate meeting, product launch, fund raiser or charity auction.

One of the most important factors for holding any successful event is the venue. In New York event space can run the gamut from studios and lofts to state of the art night clubs and classical theaters, choosing the space that’s just right for your occasion or gathering is critical to making and leaving the right impression on your attendees.

A preliminary consideration should be the number of attendees, keep in mind you’re not after an exact final head count at this stage, and your not looking for how many people will be invited, but more of a ballpark estimation of how many people will actually be attending. It is critical to find a space that is suitable for the number of guests. Many NYC event venues are flexible in how many people they can accommodate.

In conjunction with the number of attendees one must consider more than just the total fire code occupancy for a given establishment. You must think about what the guests will be doing during the event. Will you be serving a formal sit down eight course meal with wine service, or will their be cocktails and passed hors d’oeuvres. Also will the guests need to be seated for a presentation or ceremony, or could some remain standing, networking and mingling while others were seated with some casual furnishings.

Another consideration is whether the facility can accommodate any audio and visual equipment that may be needed. Items such as projectors, screens, monitors, podiums, microphones, lighting and high speed internet access. Almost any event will incorporate some form of A/V equipment, from the simplest thing like dimming the lights to present a birthday cake with candles to a full blown theatrical performance or film screening.

In addition to audio and visuals almost every single event that one can imagine will incorporate some type of food and beverages. Choosing an event space without considering food and beverages is a recipe for failure. You don’t always need a facility that can prepare a full menu, but be sure to chose a facility that can accommodate the needs of the event. You will find that some facilities do not actually prepare any foods at all but will have a list of preferred caterers and vendors while others actually have full banquet kitchens that can prepare everything from salads and appetizers to desserts and ice sculptures.

At the end of all this is a price tag. You may be sidled with a strict budget for the entire event, or you may have a bit more flexibility with guidelines for each seperate part of the occasion. In either case you should have a list of what is absolutely required, the must haves. Then a list of what you would like to do if there were no limits on spending at all. Figure out the cost of the necessities and then go through and prioritize the wish list and see how many of those items you can squeeze in.
